Overview
The post holder will assist the Manager in providing financial and bookkeeping services for the agency, ensuring that the agency fulfils its financial requirements.
The post holder will be responsible for:
- Preparation of correspondence, electronic or otherwise, monthly.
- Assist in maintaining an annual budget.
- Prepares monthly payments to suppliers, employees and all invoices raised against the relevant attraction.
Duties and Responsibilities
- i) Prepare correspondence (memoranda, letters, forms, etc.) of the agency to high standards, accuracy, and professional appearance, as required and ensure all outgoing correspondence is copied for departmental records and mailed in a timely matter.
- ii) Process invoices, record payments, and track expenses of the agency in accordance with the Financial Procedures Manual.
- iii) Maintain financial and bookkeeping records efficiently, so that information is current and readily available.
- iv) Send bills to customers; process refunds; interact with customers on past-due accounts; and work to resolve billing disputes.
- v) Prepare a listing of accounts payable and receivables monthly, for inclusion in the monthly report and for review by the Financial Controller.
- vi) Prepare bank deposits to ensure all revenue received is accurately and timely deposited in accordance with the Financial Procedures Manual.
- vii) Prepare monthly bank reconciliations for all entity accounts and submit to the Financial Controller for review and sign off in accordance with the Financial Procedures Manual.
- viii) Prepare payroll for staff members and record salaries, wages, allowances, deductions, leave, pension, and health insurance in the accounting system and present to the Financial Controller for processing.
- ix) Monitor daily intake, settlement and inventory and make recommendations for internal control improvements.
- x) Assisting the manager with implementing systems to maximise operational efficiency and increase revenue.
- xi) Assisting the manager with the preparation of the monthly Manager's Report.
- xii) Assisting with audit schedule preparations and audit queries when assigned by the manager or his/her designate.
- xiii) Any other duties within the competency of the post holder, and of a similar responsibility level as assigned by the General Manager, Director or his/her designate.
Qualifications, Experience and Skills
The post holder should possess:
Bachelor's degree in business administration/accounting or an associate degree in business administration /accounting with a minimum of 6 years in bookkeeping and payroll processing.
Experience and Skills:
- Demonstrates the ability to use inventory software, QuickBooks, data entry and the processing of bills.
- Proficiency in QuickBooks accounting software, Microsoft Dynamics Point of Sale software and Microsoft Office applications, primarily Microsoft Excel and other compatible software. Have good interpersonal skills, work independently and within a team structure.
- Be highly organised, motivated and demonstrate the ability to think creatively and strategically and have good oral and written communication skills. Be reliable and capable of working on their own initiative and maintain strict confidentiality of the work.
